Contracts

AgencyMax has a comprehensive contract management system. It allows it to assist with the coordination and paperwork for the entire process. Larger agencies really start to appreciate its ability to keep lots of contract settlements and refunds under control. This combined with our thorough handling of advertising makes the whole offer to settlement process simple, and ensures all recoverable monies are received.

The contract system utilises the Document & Form component of AgencyMax to allow paperwork, in particular letters and Contracts (in those States and Countries where it is possible) to be quickly and easiliy generated.

Some features of the contract system include:

  • Ability to drawn funds down early (Sec 27 in VIC and New Zealand)
  • Tracking of receivables, so commission earnt but not necessarily due at settlement (ie. Commercial and Industrial Leasing and Project Marketing) is individually tracked and reporting in Cashflow reports

Receivables

Receivables

the receivables system is of utmost important to Commercial and Industrial Leasing and Project Marketing specialists. It is well suited to those agents who don't always receive their commission on settlement. Some agents, for example Commercial & Industrial Leasing Agents may recieve part of their commission on or around agreement or occupancy and the remainder some time afterwards. Offices selling Projects, even on behave of developments and their marketing agents maybe recieve part of their commission on unconditional and the balance possible years later on settlement.

Our Recievables system track all this for you automatically reminding you of when funds are due and inparticular when they are overdue.

The Receivables is still used by general agencies for tracking of commission on settlement and any authorised advertising that is also due.

Salesperson Ledger

AgencyMax has an integrated Salesperson ledger. This ledger tracks all commissions earnt, all wages paid, any adjustments like bonuses or expenses. The ledger tracks all gross transactions (before PAYE/PAYG/TAX). If you'd like to pay people directly and calculate their PAYG/PAYE withholding amounts our intergrated Payroll can make those calculations for you, or you can send the gross figures to programs like Quicken or MYOB to do the last stage.

You will be reminded to pay your salespeople upon settlement, but you may choose to pay them earlier (at your discretion). If you have a bonus scheme setup for your Salespeople you can also run the bonus calculation and any bonuses due will be credited to their account.

Bonus System

AgencyMax can also calculate most bonuses scheme automatically, once you teach it the rules. It can determine bonuses based on a wide variety of criteria, including:

  • Earnt to Office or Paid to Salesperson Commission
  • Adjustments, overrides or even deductions (reverse bonus - although that won't make you very popular) can be calculated
  • Bonuses can trigger once a minimum commission is written
  • Bonuses can be limited so they wont exceed a certain amount, within the specific period
  • Bonuses can be a flat amount, percent or even a sliding scale percent
  • Bonuses can be calculated on a variety of periods, like weekly, fortnightly, monthly, quarterly, four monthly, six monthly or annually
  • You can optionally ignore deductions from the salesperson ledger
  • You can optionally include other non-commission income, such as homeloan fees
  • Commissions can be tailored on a salesperson by salesperson basis

Franchise Return

If you are a Franchisee of our of our supported Franchisors you can use our franchise return to electronically sent your returns to Corporate. Alternatively you can print the comprehensive franchise return report.

If you belong to a small franchise group, the franchise return system is very flexible and can be modified for most franchisors requirements. It was improved from the original one we designed an build for LJ Hooker in their Evolution and then later the E2 system.
