Contacts

AgencyMax has a central contact database where all people and companies are stored. Depending upon what other involvement they have with your business and staff will depend upon what other areas they may filter through to.

The main contact database is central to our enter once policy.

Potential & Past Buyers

Contacts within AgencyMax can be extended into Buyers.

Since its not uncommon to meet a person at an open home, but for some reason, like the open was busy, or the person wasn't very forthcoming, you may not have found out too much about them. Under these circumstances you'd record them in AgencyMax as just a contact. That way you can start collecting information about them. Naturally, you'll want to call them back after the open home and with some luck you'll get more information from them. They may turn out to be a neighbour interesting in selling or a geniune buyer.

If they are a buyer you can extend there contact within the system into a qualified buyers, at this point you can then specify their buying preferences, including property types, such as residential or commercial etc, geographic preferences based upon either suburb or your own locality names, bedrooms, bathrooms, car parking, price, land size, property categories (house, unit, acerage, etc), building construction types and other individual features. All these criteria are customisable to really allow you to tailor AgencyMax to how you do business.

Potential Sellers

Some of your contacts will be special, they'll be considering selling. A good example of this is where you perform an appraisal, but the Owner is not yet ready to sell, perhaps they just wanted an update on what their home might be worth. However, from your meeting with them you realise they might be likely to sell sometime in the future.

Promoting them to a potential seller allows easily identification and tailored marketing. You can also utilise the action plan and diary system to plan ongoing followup to ensure they think of you first when their circumstances change.

Owners

AgencyMax has a fully integrated property ownership database. If you can pre-load it with Council Reports or data from another system, then you'll hit the ground running. Otherwise AgencyMax will start building you an ownership database from your own sales activities.

As an Owner can be linked to many properties, it is possible for each owner, all the properties they own.

Tenants

A commercial tenancy database is included. Its an extension of the existing Contact database. Its primary use is for commercial and industrial marketing. Existing tenants, for example, those available from registered leases can be loaded in and then they form an integrated part of our overall CRM system.
